How it works
The customer opens the bakery's order link from the Instagram bio, uploads one to three inspiration photos, enters servings, flavour, event date and pickup or delivery. An OpenAI vision call looks at the photos and returns a complexity tier from 1 (simple buttercream) to 4 (sugar flowers, hand painting, 3 or more tiers), plus a one-line reason. The app multiplies the bakery's per-serving price (buttercream or fondant) by the tier multiplier and the serving count, adds tier structure and delivery charges, and shows a price range with a 15 percent spread.
Before the price screen renders it checks the week of the event date against the bakery's cap (default 6 cakes, with a Tier 4 cake counting as 2). If there is room, the customer pays the deposit through Stripe and the slot is consumed; if not, the app offers the nearest open weeks or a waitlist. The decorator later confirms the exact price inside the range, which triggers the balance-due email and SMS.
Reminders go out 3 days before and on the balance due date, the day before pickup, and 2 days after the event for a review. The owner sees an inbox, a 12-week capacity board, and monthly reports including how many quotes were lost to full weeks.
What to expect
Bakeries using an order form instead of DMs report fewer no-shows and less time chasing details, and this goes further by pricing and taking the deposit in the same sitting. Expect quote-to-deposit conversion of 20 to 35 percent on inquiries that reach the price screen, which is far higher than DM conversations because the customer commits while they are excited about the photo. Expect the AI tier to land where the decorator would have put it 80 to 90 percent of the time after calibration on the bakery's own cakes; the remaining 10 to 20 percent go to the inbox as NEEDS REVIEW and get a hand quote, so nothing goes out wrong.
Setup to pilot is 1 to 2 weeks. The tier calibration session with the owner is where the tool earns trust, budget an hour for it.
